Renew Coordinator

  • Communicate effectively with staff members, parents, students, travel companies, rental companies, and outside businesses

The Renew Coordinator will be responsible for coordinating the following:

ON CAMPUS COURSE & ALL DAY OFFERINGS:

  1. Recruit external teachers
    1. Give marketing the information needed for advertising in Timothy community communications
    2. Send out recruitment letters to churches and local businesses, answer questions, and  make calls to recruit
    3. Set up meetings with new external teachers with Dr. Mitchell. Note this is only for those offering for a first time; guest instructors who have taught in the past and have been asked back do not need another “interview.” Distribute, collect, and review external teacher applications
    4. Coordinate with the Business Office regarding Verify background checks and other paperwork.
  2. Share the Instructor Guide with prospective guest instructors along with the TCHS staff.
  3. Distribute the course proposal form to guest instructors and TCHS staff
    1. Coordinate Course Brochure
      1. Collect descriptions from the proposal form, create the course registration form, and the Renew course guide
      2. Proofread
      3. Get the curriculum guide ready to be sent to students, parents, and TCS School Wide email on the first Wednesday of October

    2. Track student payments
  4. Oversee Registration
    1. Cross-reference registration to Class & Serve Tracking Spreadsheet of students so no student repeats a class.
    2. Send parent email with financial information and clearance for PG+Movies & Showing of Arms
    3. Create class lists for teachers and share
    4. Coordinate with school Bus Coordinator for bus needs
    5. Track attendance
  5. Once registered, gather financial details and give to the Business office for the Blackbaud system 

INTERNSHIPS

  1. Communicate with the Internship Coordinator
  2. Confirm what students are involved, double check they have met serve requirements, otherwise they may not do an internship if they are a senior.

TRIPS

  1.  Renew Trips Renew Trips
    1. Coordinate with travel partner to find trip options - Joshua Expeditions
    2. Coordinate with staff who are offering trips.
    3. Create Trip Brochure, Application Form and Spreadsheet in early March
    4. Coordinate announcement of trips with Marketing team

  2. Coordinate the approval of trip applicants
    1. Communicate details with applicants and parents/guardians
  3. Communicate regarding scholarships
    1. Communicate details with applicants and parents/guardians
    2. Communicate regarding scholarships
    3. Students who are winter sports team members may not travel unless traveling with a team, connecting with coaches to confirm who ‘might’ make the team.
  4. Help in coordination of trips staff are planning
    1. Airfare
    2. Rental Cars
    3. Accommodations
  5. Communicate with the Business Office and provide a detailed spreadsheet for trips that we are collecting through Blackbaud payment.
